INSTALLATION This file should be installed in a common directory, along with: ABOUT.TXT DOCS2000.EXE MYITEMS.TXT We have developed this application with the assumption that NOTEPAD.EXE is resident on your computer and in your systems "path" statement. We assume this, because it is the typical configuration for almost all Windows systems, and apologize for any difficulty this presumption causes. If this isn't the case with your computer, first talk with your systems staff to see if they can resolve this conflict. It shouldn't be a prohibitive problem. If difficulty continues, feel free to email Timothy McCarthy at tmmc@buffalo.edu, and he will try to assist. This application is free, however, and you assume all responsibility for it's use and any effects it's use has on your computer. We will not be held liable. PRE-USE Once you have installed the above files, and created your "MYITEMS.TXT" inclusion file by following our instructions at our website, you should be ready to begin using DOCS 2000 to print labels, save label files for later printing, or creating shelf list files. It is recommended that you create a desktop icon (or shortcut) for DOCS 2000, so that opening the application will be a simple double-click away. To do this in Windows 95, 98, or NT, simply open "My Computer" and follow these steps. 1) Double-click on the drive where you created the DOCS 2000 directory. 2) Double-click on the directory DOCS 2000 resides in. (If DOCS 2000 is stored in a sub-directory, you will need to "proceed" through that path until you reach DOCS 2000) 3) Right-Click on docs2000.exe and then left-click on "Create Shortcut". 4) Drag the shortcut icon you created to an empty space on your desktop and you're all set. If you are using Windows 3.x, you'll have to create an icon in a "New group" or highlight an existing group and create an icon in that group. If you don't know how to do this, ask systems staff for assistance. If you have NO ONE who can help you, email Timothy McCarthy at tmmc@buffalo.edu, and he will try to assist. USE DOCS 2000 is intended to be used to convert shipping list files "saved" from the Enhanced Shipping List Service at the University at Buffalo. URL: http://ublib.buffalo.edu/libraries/units/cts/acq/gpo/ You select the format of the shipping list(s) you are working on, and then select the year and specific shipping list(s) you wish to save to your computer (one at a time). Once the shipping list you wish to save is displayed on your browser, you click on "File" and then "Save As". This brings up the window for saving a file to your computer. Find the directory where you wish to save your shipping list files to and enter it. The file name for the shipping list you wish to save should be in the "File Name" box and the "Save as Type" box should say "HTML File". **This is VERY IMPORTANT for DOCS 2000 to run properly** You must save the shipping list file with an ".htm" extension. It SHOULD NOT be an ".html" extension. If it is, the program will misread the file, so be sure to save them with the 3 character extension ".htm". Doing this should just require removing the "l" from the end of ".html". You should follow the above guidelines for each shipping list file you save until you have saved them all to your computer. Then comes the time to use DOCS 2000 to convert the files you saved. Open DOCS 2000 by double-clicking the icon. You will see a window that shows the drive and directory DOCS 2000 is stored in and will show the closed directory where your shipping list files are saved. (If you followed my recommendations) Double-click the closed folder to open it, and you will see the files you downloaded on the left. (If you followed my recommendations) Double-click on the first file you wish to convert so that the filename appears above the filebox. Click "OK". A new window will display, with the contents of that shipping list showing. You DO NOT need to edit the text or anything. Just click on the button that applies to what you want to do next. This will cause another window to open, which displays your EXCLUDED items along with the included items. (This window may not appear immediately, it may take a few seconds to do it's work. Be patient) Again, you DO NOT need to edit anything. Just click the button that applies to what you wish to do. If you're going to print, MAKE SURE your printer is on and has single column labels as recommended from our website. Adjust the number of spaces and characters, according to the label layout and SUDOC length. If you're creating a label file, you will open in a wordprocessor, the file will have an ".lbl" extension and be in the same directory as the shipping lists you saved. If you're creating a shelf list file, the file will have an ".shf" extension and be in the same directory as the shipping lists you saved. After you've converted one of the shipping list files, you will return to the initial screen and be able to process the next shipping list file. After you're all done, be sure to delete (or move) the files you're done with, so that your storage directory doesn't get cluttered with old, unnecessary files.
